When the manager determines the scope of a project, the following stages should be completed:

  • Determining goals and objectives of the project. The following factors should be considered: quality, definition of project statuses "Complete" and "Acceptance", and ongoing maintenance.
  • Identifying the project participants . Relatively all participants of a project can be divided into two groups: people who work on the project and those affected by the project. Participant is a person who can significantly influence on the outcome of the project, for example, managers, customers, subcontractors, resource providers, and other.

  • Determining the information requirements for each participant. This phase includes detailed summary reports using time, resource and cost data. Content of reports should be focused to meet the requirements of the recipient.
  • Determining general levels of details, calendar settings, time units, etc. The proper setting of details level allows the process to be realistically designed without getting dipped in too many details.
  • Developing the project reporting structure . To meet the requirement of each stakeholder, t he structure and type of report should be appropriately chosen and allowed for ongoing project management.

This typical process of defining the project scope can be implemented in VIP Task Manager software. The system of task report brings a set of tool to customize the report structure your project team requires. When building a report, you can choose which task options are to be included into the report. For example, for quick and specific reports, you choose such task options like general information (task name, time and dates, priorities) and assignment. So you will get the report with short but sufficient information. Besides mentioned options, the full report includes the following task attributes: attachment, notes, custom fields, comments and task history.
