Task management software review

To efficiently plan and manage tasks, software should be available. Task management software becomes vital when you need to control and manage tasks and job assignments of your employees. You can find many definitions of such software, including task management software Wikipedia's definition. In the given below outlook, the following definition is used:

  • Task management software is an electronic solution for managing tasks and jobs assigned to employees, as well as for planning, tracking and reporting assignments which can be parts of projects and processes.

The given definition covers main aspects of applications and can differ from wiki's definition, or definitions given by other competent websites and online resources. This review is dedicated to highlighting kinds of task management software applications that are used depending on specific situations and also requirements of users.

Depending on the platform used to access tasks and associated information, tasks management systems can be divided into the following kinds:

  • Desktop system. It is also called task management software for PC. Users can install it on computers and run it under an operating system (for example, Linux or Windows compatible solutions). Desktop systems are widely used at offices by employees who work sitting at desktop computers.
  • Mobile system. It gives remote users a great opportunity to communicate with office colleagues by using mobile technologies. Portable or mobile task management applications allow reviewing and doing tasks even if a user is not at office. Such applications send tasks directly to a mobile device (like Blackberry or iPhone), so users can track new assignments and perform tasks.

Depending on the user access to tasks and associated information, tasks management systems can be divided into several kinds of network tools, including the following ones:

  • Internet task management system. It is widely used by organizations which have offices in different locations, and employees of such organizations use Internet to collaborate online and access shared resources. Online packages let store information about tasks on purchased space of dedicated web servers. The ‘plus' of such systems is that users can access information stored on web servers from any computer that has Internet connection. The ‘minus' is that users have to make monthly payments and that Internet system has non-typical interface options and no contextual menu.
  • LAN task management system. It is used within a single office through capabilities of local area network. LAN task management system is great for managing and controlling tasks of employees located in one office. Advantages of local area network task management system are cost effectiveness, stability and independence on external resources. The main disadvantage is impossibility to access information stored on remote servers.
  • Email task management system. It uses Internet to allow users sending tasks to each other, so information exchange can be organized and users will receive job assignments and todo lists at their email addresses. Email task management system is similar to online templates, but it doesn't allow keeping information in a single database and collaborating in real time.

Depending on the availability for users, systems can be divided into the following kinds:

Task delegation
  • Free task managing software. It is also called open source software and it is available for free download and use. Though task managing software free and open source solutions are very attractive from the financial point of view, users usually feel a lack of functionality and sometimes suffer from virus alerts (because often free task managing software has built-in spyware modules). This kind is rather to be used just for examination, but not for managing duties on a regular basis, especially if users need to manage projects which require powerful and advanced functionality.
  • Commercial task managing software. It is the most effective and promising solution because task management software products distributed on a commercial basis have advanced functionality, great support services and frequent updates.

At the end of this comparison, there is an example of task management software. VIP Task Manager is desktop-based, Windows-compatible, client-server software for task management and group collaboration. The software allows collaborating in real time through LAN and Internet. VIP Task Manager has a full-featured, 30-day free shareware edition that you can download from this website.
