Task Mapping Software

What is Task Mapping Software?

Performing a task is like doing a path, and to do it successfully you need to map and navigate your road to be sure on where you are and where you are going to. It is designed for the purpose of helping people in accomplishing their tasks by having ready their task maps and navigational tools within a sole package. This is actually a way which we can understand this term:

  • It is software to let us follow our working plans;
  • Set and follow our objectives;
  • Control any other task-related matters to stay on the right path and do not deviate from it;

Let’s consider components included into mapping process and how software may help:

1) Mapping out constraints – in order to complete your work you need to exactly know what resources are allocated for doing it and what boundaries cannot be crossed. Software can be used to plan your main task constraints: budget, timeframes, quality and scope of work. These cornerstone matters are primal requirements reasoning your efforts and decisions. If you control them accurately, then this means you are grounding your success, as they include:

  • Target dates (a task’s timeline of activities, milestones and deadline);
  • Budget (costs you can afford for completing this work);
  • Scope of work (specific plan of actions and deliverables);
  • Quality (your priorities and strategy on the workflow);

2)  Mapping out steps – the point where analogy with a map is completely obvious, as you need to have a step-by-step plan to accomplish your task. These steps should be clearly explained, better in terms of feasible actions, so you can gradually follow them without any confusion. Software can be used for planning and sequencing these steps to give you a clear vision on how you need to make a progress on your work, including:

  • Tree-like decomposition of working steps (WBS or task tree);
  • Setting appropriate logic order of actionable steps and their details;
  • Displaying plan of your actions on time-grid (Calendar) to see your daily agenda;

3) Mapping out milestones – once you follow your step-by-step plan of action you need to control your performance and measure grade of your task completeness. For this you may set milestones – target dates or work steps associated with certain deliverables. With a help of this software you can take care of phasing and executing your task to meet all milestones on-time, because it allows you:

  • Getting notifications (reminders) to prevent you from missing any of your milestones;
  • Controlling time left before task’s target dates;
  • Color-coding tasks which are close to their due dates;

4) Mapping out risks – having a journey, as well as doing a work, is always connected to certain threats endangering your success, so you need to foresee these risks and mitigate them. With a help of this software you can associate certain risks with appropriate tasks and define steps to mitigate them.
