Sometimes tasks within IT-company require additional instructions or quotations from technical texts. Each task in VIP Task Manager has notes panel where additional information regarding task can be entered. For example when client calls to IT-company to buy operating system for PC or some office software and demands for computer specialist visit in order to install it - office manager creates special task where he enters client's contact info (phones, name, address) and transfer this task to Field department. Sometimes, when office address is not enough to find the right place, client gives additional instruction how to find office at the site. These instructions can be added to notes section of a task, as well as brief description of client's issues and requirements.

This information can be printed out for convenience of field specialist. Programmers can use notes in order to store code sections. Notes can be used to:

  • give explanatory instructions to employees
  • write short task reports
  • document IT-specialists activity

Files and Links

Often collaboration within IT-company requires file sharing (sharing of technical documentation and job results). VIP Task Manager allows attaching files directly to a task. For example hardware engineers and system administrators usually work with various types of hardware which are manufactured by different producers and have different specificity of setting and operating, therefore such specialists need to learn a lot of documentation (tutorials, instruction, manuals and so on). Such documents are usually stored in PDF-format.

Documenting IT-company tasks

For example when specialist is going to set hardware it is possible to attach appropriate instruction to corresponding task, so required documents will be within easy reach. It is possible to create a list of hardware which IT-company specialists work with (in a form of task list) and attach all corresponding documentation regarding each type of hardware, then with a help of filtering it will be convenient to find out required items. So VIP Task Manager can be used to manage and share technical documentations.

Sometimes files are too big to be attached directly to database. For this purpose VIP Task Manager allows to attach files as hyperlinks. File should be stored in shared folder within LAN and path to this file should be entered into URL line. In few clicks task with all attached files and links can be sent by e-mail.
