Notifications

Employee collaboration within travel agency is extremely important. It is critical for travel agent to be timely notified about completed tasks related to their clients. It is critical for the guides to be timely informed about tasks assigned to them by the supervisor or the travel agent. For example, the guide wants to create schedule of excursions. He needs to know exact date of arrival, client names, tour details, and other. The way to get it is receiving messages on appropriate task progress. VIP Task Manager automatically sends notifications to all concerned employees. Each employee can see new notifications in Notifications Panel or check new messages in the email box. Subscription to notification messages can be configured by supervisor or manager that is by a person who has enough privileges for administrative tools of VIP Task Manager. The system sends notifications to assigned resources and owners by default. However, you can configure it to send notifications to anybody among resources in the travel agency database. For example, it may be used when delegating tasks and assigning new responsible persons and supervisor.

Comments

Comments are the way to express your opinion or revise current task performance. The travel agent may leave comments in the task for guide pointing to some important details of the customer order. Supervisor can leave comments on the tasks to add information about the task and the employee can use the comments option to ask additional questions like what results are expected or whether he may put this task on hold as he has another important task. VIP Task Manager allows to comment tasks and use the comments option as a live chat. Once comments have been added, the system sends notifications to all concerned resources in real time. This allows to organize quick information exchange between employee of the travel agency. For example, before starting to perform a task, the guide can discuss all points of typical excursion with the travel agent in real time by using Comments panel.

Sending task and reminder by email

Procrastination may become one of the biggest troubles of the travel agency if its employees forget for some reasons about important and urgent tasks. This may occur when the employees are involved into a lot of chores and activities. For example, because of intensive workday, the guide has forgotten to meet new tourists at the airport. To prevent such a terrible situation, he needs to use some reminders. VIP Task Manager allows to organize the workday of the employee and do not forget about any task.

Each user can set reminders for a task. Reminder can be set for a certain date, time and resource as a popup message, email message or a sound. VIP Task Manager also allows to send tasks by email. This feature is critical for travel agents as they often work away from the office. By using PDA or pocket PC, t he travel agent can just receive his task lists on email box.
