How to improve transportation company productivity  with VIP Task Manager Professional

The transportation company uses key performance indicators (KPIs) to evaluate its efficiency. Key performance indicators are applied to analyze the status of targets:

  • Strategic long-term goals (cargo volume growth, increased profits, perfect business reputation, increased competitive advantages, etc.)
  • Specific immediate targets (delivering goods and services to customers on time, reduced risks, fighting procrastinations and cargo delays, etc.)

Estimated Time of Arrival and Actual Date Delivered

First of all, we need to create two custom fields: "Actual Date Delivered" (ADD) that shows the date when goods were actually delivered to the destination point, and Estimated Time of Arrival (ETA) that shows planned date and time when the shipment is to be delivered to the customer.

By means of Charts Panel, managers of the transportation company can watch the diagram that demonstrates the divergences between Actual Date Delivered and Estimated Time of Arrival. If for some reasons goods were delivered late, the fulfillment of purchase order was delayed. This is negative for the transportation company. By simply looking at the chart, managers can see whether delivery system of the transportation company is working well or not. When the chart indicates that all orders are being delivered in-time (ADD is less than ETA), then the system is obviously performing well. But when the graph values are off-target (ADD is more than ETD and order were delivered too late), then a deeper assessment is required. Bottlenecks in certain parts of the system must be identified and corrective measures taken.

In VIP Task Manager the managers of transportation company can build charts on the level of customer task group. This enable to watch where procrastinations were occurred, on which task exactly and who was responsible for it. The manager can use filed "Complete" to build chart by tasks progress. For example, the task group "Customer 1" has nine tasks inside. By selecting this task group the manager can watch tasks that are not completed. Uncompleted tasks are probably the reason of procrastinated order delivery.

Cargo Volume

To analyze the transportation company performance in terms of long-term goals, the managers can use cargo volume indicator. Cargo volume shows the volume of shipment loaded on a transport, measured in cubic feet or liters. Because of transport shape and goods dimensions, cargo volume is sometimes more important than cargo size.

In VIP Task Manager cargo volume can be specified for each customer. Custom field "Cargo Volume" will be counted at all levels of hierarchical structure. In our example, we have four levels:

  • Customers
    • Quarter
      • Month
        • Customer 1

With this structure, managers of the transportation company can see cargo volume of each customer and also sum up cargo volumes for a month, quarter or get total cargo volume for all orders. Using Charts panel the managers can get diagram of the cargo volume dynamics. In our example, cargo volume has a tendency to grow throughout forth quarter (September, October, November, and December). Besides total cargo volume, VIP Task Manager enables to build Average Cargo Volume for each quarter or for a month. This indicator can be applied to plan future volumes of carriage and potential profits.
