Step 8. Tracking training agency tasks


Task filters
Training agency has an intensive workflow which includes a great number of tasks and jobs. Everyday, trainers and training analysts perform a lot of tasks, and the training manager needs to keep track of task statuses, unresolved problems and delays. For example, the training manager needs to know current status of business training courses, so he should track to-do lists concerned the business trainings.

In VIP Task Manager the training manager can filter to-do lists by the task group 'Business Trainings' in order to see the tasks related only to arrangement and realization of the business training events and courses. Filter Bar allows to filter to-do lists by such task attributes like 'Due Date', 'Assignment', 'Status', or custom fields 'Training Type', 'Training Form', and 'Scheduled Hours'. In order to make the use of Filter Bar easer and convenient, the training manager can save filter settings in several profiles and raise them any time when it needs to track to-do lists of trainers.

'Status' task column
Status is one of the most important attributes of tasks in training agency solution. The 'Status' column allows the training manager to track tasks by current condition in order to be immediately informed if task is Created, In Progress, Cancelled or Complete. In Task List view the training manager can group to-do lists of trainers by the 'Status' column to track tasks by status. Workflow Editor allows to change colors for different task statuses, so it makes task tracking easer and more convenient. For example, the workflow 'Training Programme Implementation' may have tasks highlighted with red color while the workflow 'Training Programme Development' may be marked with blue color.

Overdue tasks
It may happen that some tasks in a certain training programme are overdue and the whole training course is at risk of being failed or, at least, procrastinated. Task procrastinations will lead to poor customer satisfaction or even to lower reputation of training agency. For example, for some reasons the trainer postpones the task 'Prepare presentation for new business course' for two days and this situation may force customer to be disappointed with the training services. In order to prevent such negative occurrences, the training manager should always keep track of task statuses and compare current progress with scheduled deadlines.


In VIP Task Manager the issue of overdue tasks can be easily resolved. This software automatically highlights overdue tasks once the trainer delays a task. The training manager can quickly and easily notice task procrastinations and take appropriate actions to complete the tasks as soon as possible. At the same time, he can analyze employee workload and track if trainer is just overloaded with too many tasks and that's why this employee postpones tasks.
